Privacy Policy
How TrueScope handles personal information across this website and its current and future specialist services.
We collect only information reasonably needed to operate our services, protect users, communicate with you and comply with the law. We do not sell personal information. AI-assisted analysis may process documents you choose to provide, subject to the service-specific terms and safeguards.
1. Who this policy applies to
This policy applies when you visit this TrueScope umbrella website, contact TrueScope, create an account, request information or use a TrueScope service. “TrueScope”, “we”, “us” or “our” means TrueScope (Pty) Ltd (Registration No. 2026/637909/07), unless a service-specific agreement expressly identifies another responsible TrueScope entity.

TrueScope operates independently from Ultimate Construction, Renovation and Maintenance. Information supplied to TrueScope is not made available to that business merely because it may also use or refer to a TrueScope service.
2. Information we may collect
- Identity and contact information, such as your name, email address and telephone number.
- Account and authentication information.
- Documents and service information you choose to upload, including building quotes, bills of quantities, project information, farm records, crop information and supporting correspondence.
- Payment and transaction records. Full card details should be processed by the appointed payment provider and not stored by TrueScope unless expressly stated.
- Communications, support requests, feedback and consent records.
- Technical information such as browser type, device information, security logs, IP address and website usage information.
- Professional or business information where a service is used on behalf of an organisation.
3. Why we process information
- To provide, personalise and improve the requested TrueScope service.
- To analyse submitted material, generate reports and respond to questions.
- To manage accounts, transactions, support and service communications.
- To prevent fraud, abuse and security incidents.
- To meet contractual, legal, tax and regulatory obligations.
- To conduct research and benchmarking using de-identified or aggregated information, or identifiable information where you have expressly agreed.
- To send direct marketing only where permitted by POPIA and with a working opt-out mechanism.
We process personal information only where POPIA permits it, including where processing is necessary for a contract, required by law, based on consent, protects a legitimate interest, or is reasonably necessary for our legitimate interests without unjustifiably affecting your rights.
4. AI-assisted processing
TrueScope services may use artificial intelligence to classify, compare, summarise or identify patterns in information you provide. AI output can be incomplete or incorrect and may require human verification. We do not present AI output as a substitute for qualified professional advice. Where a decision could have a significant legal or practical effect, you should obtain appropriate human review.
5. When information may be shared
We may share information with contracted hosting, security, communications, payment, analytics, document-processing and professional-review providers where reasonably necessary. Providers must process information only for the agreed purpose and under appropriate confidentiality and security obligations.
Information may also be disclosed when required by law, to protect legal rights, to investigate abuse or fraud, or as part of a properly managed business restructuring. We do not sell personal information.
6. Cross-border processing
Some technology providers may process information outside South Africa. Where this happens, TrueScope will take reasonable steps required by POPIA to ensure the recipient is subject to an appropriate law, binding agreement or corporate rules that provide an adequate level of protection.
7. Retention and security
We retain information only for as long as it is reasonably needed for the stated purpose, contractual records, dispute resolution, security, tax or legal obligations. We use reasonable technical and organisational safeguards designed to protect information against loss, unauthorised access, interference, alteration or disclosure. No internet service can guarantee absolute security.
8. Your rights
Subject to POPIA, you may ask whether we hold your personal information, request access, correction or deletion, object to certain processing, withdraw consent, request evidence of authorisation, or complain about unlawful processing. Submit privacy and POPIA requests to hello@truescope.co.za. We may need to verify your identity before responding.
9. Complaints and the Information Regulator
If a privacy concern is not resolved, you may lodge a complaint with the Information Regulator (South Africa). See the official complaints page or the Regulator’s contact page.
10. Changes to this policy
We may update this policy as services, technology or law changes. The current version and effective date will remain available on this page. Material changes will be communicated where reasonably practical.
